Virtual Office & Business Address Agreement
Use your assigned business address after staff confirms activation. Pay monthly or annually as shown at signup. We notify you when mail arrives; opening, scanning or shredding mail requires your request.
1. Member and service
This agreement is between Cocoa Beach Office ("CBO", "we", "us") and the person or business named at signup (the Member). The signer confirms authority for the named business. Service covers the business address at 1980 North Atlantic Avenue, Second Floor, Cocoa Beach, FL 32931, the assigned address identifier and the mail services described in the selected plan. It does not provide a private office or residential accommodation.
2. Address activation and permitted use
Use the exact business name and address format supplied by staff. A mail identifier must not be misrepresented as a physical office occupied by your business. Address service does not make CBO your registered agent, authorize acceptance of legal process on your behalf, or guarantee eligibility for bank, licensing, search-platform or registered-office requirements. Any registered-agent or separate workspace service requires an express agreement.
Do not use an unassigned identifier or represent the address as active until staff confirms your details and activation. Address identifiers are assigned by CBO and are not reused automatically. Provide accurate business and identity information and any documentation lawfully required for your service. CBO’s current mail-sorting arrangement does not include USPS Form 1583 as an activation step. This is a description of the current service, not an exemption from postal law: any identity verification, authorization or postal documentation legally required for the applicable delivery arrangement must be completed before the affected mail service is provided.
The address may be used for lawful business correspondence and registrations where the relevant authority accepts it. Acceptance for a particular registration, license or listing is not guaranteed. Do not use it as a residential address, for fraud or for an unapproved business.
3. Term and billing
Your monthly or annual plan, price and billing period are shown before payment. Monthly service is billed in advance each month; annual service is paid in advance for the full year. Annual billing provides twelve months for the price of ten monthly payments. The displayed price and applicable taxes control the amount due. Service renews for the selected billing period unless ended with 30 days’ written notice before renewal. Ending an annual plan early does not automatically refund the unused period, except where required by law or expressly agreed.
4. Payment and late fees
Submitting details or accepting these terms does not constitute payment or activate the address. Payment must succeed and staff must confirm activation. Pending bank payments are not cleared payments. If payment fails or is more than five days late, we may charge a late fee of up to $25 or 5% of the unpaid balance, whichever is lower, subject to law, and may suspend service after notice. If we cannot supply the paid service, we refund the payment.
5. Mail handling
Identify all authorized recipient names and collection contacts; staff links mail to the actual client record rather than creating a new recipient from an uncertain label. Unclear or unmatched items are reviewed before release. Collection by someone else requires your authorization and reasonable identification. Ordinary notification and envelope capture do not authorize opening contents. Forwarding destinations, postage and optional service fees must be agreed in advance; no unlimited scanning, storage or forwarding entitlement is implied.
We receive and sort mail for the named business and notify you when it arrives. You may collect it or request available opening and scanning services; scanning is performed after your request, not automatically when the envelope arrives. Shredding requires your explicit request, which is retained as proof. Any forwarding or additional service must be agreed with staff, including charges, before it is performed.
We may refuse illegal, hazardous, perishable, oversized or cash-on-delivery items. Mail is handled during staffed business hours. Tell us promptly when the business name, authorized recipients or contact details change.
6. Other workspace services
Only services stated in the selected plan are included. Room bookings and coworking access outside the plan require a separate purchase and remain subject to availability and their own terms. Included allowances do not automatically create a room reservation.
7. Ending service
Provide reliable post-termination contact and delivery instructions. Ending billing does not extinguish legally required mail handling, record retention or remailing duties, including any CMRA obligations that apply to the actual service. Staff will confirm the lawful collection, return or forwarding arrangement and any agreed postage or service charges; these terms do not authorize automatic destruction of uncollected mail.
Give written cancellation notice and update the address with agencies, banks, customers and other senders when service ends. Coordinate collection or lawful return of remaining mail with staff. Mail will not be opened or shredded without your instruction except where law requires otherwise. We may suspend or terminate service for unlawful use or material breach, with notice and an opportunity to remedy where appropriate and lawful.
8. Responsibility and agreement changes
Protect your account and keep legal business names, authorized contacts and contact addresses current. Do not use the address for unlawful activity or misrepresent CBO as your employee, agent or physical operating office. You are responsible for third-party claims only to the extent caused by your business activities, instructions or breach; this does not require you to cover loss caused by CBO’s negligence or misconduct. Payment-provider and statutory dispute rights remain available.
You are responsible for business compliance, address eligibility and accurate recipient information. We use reasonable care in handling mail but do not guarantee postal delivery times. We are not responsible for indirect or consequential losses to the extent permitted by law; mandatory rights remain unaffected. Your accepted agreement controls over later website wording, and changes to an already paid annual price require your agreement.
9. Governing law and disputes
These terms are governed by the laws of the State of Florida, without regard to conflict-of-law rules. Any dispute will be brought exclusively in the state or federal courts serving Brevard County, Florida, and you consent to that venue.
Before filing any claim, both sides agree to try in good faith to resolve the issue informally for at least 30 days after written notice.
